Project Management

With project-based work on the rise, executing projects effectively has become essential. Microsoft Teams, paired with Omnia, can help you manage projects smoothly, keeping them on time and within budget.

Here’s a straightforward guide to driving successful projects in Microsoft Teams by setting up best practices, fostering collaboration, and enabling continuous improvement.

Define and Visualize Project Best Practices

Start by outlining a clear project workflow. Identify phases, milestones, and key tasks for each stage, along with any essential documents or templates. A well-defined process helps everyone understand what’s expected.

Publish this process within a Project Center on your intranet—a centralized hub for all project resources. Customize Microsoft Teams templates to reflect these project standards and make them accessible via a “create new project” button for easy setup.

Drive Collaboration in Project Teams

Using a guided setup, team members can input key project details to create a project space in Microsoft Teams. Once a project is underway, team members can:

Track progress visually through project phases and color-coded status updates.
Assign tasks, set deadlines, and use Kanban boards for a clear overview of tasks.
Collaborate on documents with enhanced management features, using templates and approval workflows to keep documents organized and accessible to relevant stakeholders.

Keeping stakeholders updated is key. Project documents and milestones can be displayed in the Project Center for easy access by audiences like the steering committee.

Continuously Improve Project Management

The Project Center should also feature a directory of active and completed projects, helping colleagues and the organization stay informed. Regularly collect feedback from team members on the process and tools to continually refine your approach to project management.

Administrators should have a high-level overview of all projects, with access to properties like status and last activity date, allowing them to edit, archive, or end projects as needed.

Building a strong collaborative culture is also essential. Encourage transparent communication, share best practices, and foster teamwork through regular meetings and collaborative tools.

By following these best practices, Microsoft Teams and Omnia can support efficient project management, helping your organization achieve better collaboration, streamlined processes, and successful outcomes.
